 Job Description
PURPOSE & SCOPE OF THE JOB   Executive Assistant provides coordination, administrative and secretarial support to the India Head of Flavor Operations and is responsible for filling the statutory returns within due dates, seeking timely renewals of various licenses from authorities with necessary follow ups   MAIN RESPONSIBILITIES & DUTIES   • KPIs Reporting (Monthly) - Coordinate information from local supply chain and maintain the First Pass Yield and Cycle Time data. - Data entry into TCT Tool for FL - Gather information from Finance/Operations team and prepare monthly KPIs reports and CFT Presentations for Ops Heads. - Coordination and compilation of site ops presentations. - Monthly CFT Meeting minutes reporting. • Other Reports - Prepare monthly operations review report. - Overtime report for all Ops staff • Others - Plan, organise, and coordinate meetings, celebrations, trainings, entertainments etc. - Liaise with Travel Desk of both Local and Regional sites for travel arrangement and accommodation for Ops Heads. - Prepare Overseas Travel Expense and other business expense claims for Ops Heads. - Ad hoc assistance to Managers in the Operations Team. - Maintain lotus notes calendar for Ops Heads. - Stationery projection and requisition for the Operations Department. - Orientation program for new staff. - Other general ad hoc projects/ duties as assigned by the Ops Heads for Regional and Local efforts. - Ensure on time weekly reporting by Operations Team and provide hard copies for Operations Heads.         • Renewal Of Licenses/Consents/Permits 1) Factory License Renewal Preparation applications with modifications, If any and submitting to the chief inspector of Factories & Boilers and follow up. License for all 3 Sites – frequency once a year. a) Notice of change of Occupier b) Notice of change of Manager c) Intimating the Factory Inspectorate regarding Holiday working. 2) Renewal of consent to operate Baby Boiler – every 6 months. 3) Consent under Water Act – 3 ConsentsPreparin g main applications with supporting documents such as Environmental Audit Report, Compliance Report, Affidavit with regard to Gross fixed capital Investment, Water Cess, Authorization to handle hazardous wastes, Effluent analysis report etc. 4) Consent under Air Act – 3 Consents – Frequency after every 3 years. Preparing form I with supporting documents as above and stack report wherever required. 5) Consent to operate D. G. Sets – 2 Unit 6) Application for Authorization to handle hazardous wastes in the prescribed form and follow up in respect of 3 units. 7) Submit annual environmental audit report to the PCC – 3 Units 8) Compliance report to the PCC – 3 Units 9) Annual Water Cess return to PWD 10) Assessment of water cess and payment of water cess. 11) Health Department Application for renewal of PFA license in respect of 3 units (Annual) under The Prevention of Food Adulteration Act – Frequency once a year. 12) Liaise with all government agencies.
